Behind the Scenes at the AER International Conference: A Journey from Texas to Louisville
Source: AER
The 2026 AER International Conference in Louisville was a showcase of seamlessly functioning technology, from screens and projectors to speakers and microphones. But few attendees realized the complex journey that these audiovisual elements undertook to arrive at the event.
According to the Association for Education and Rehabilitation of the Blind and Visually Impaired (AER), nearly all the equipment present traveled over 1,100 miles from Lubbock, Texas, all transported in a Penske truck. This logistical journey was part of a cost-saving initiative spearheaded by conference organizers.
The idea for this ambitious project began a few years ago. The AER team closely examined expenses for audiovisual services, which amounted to a staggering estimate of $114,000 from the hotel. This figure covered everything from staging and screens to sound equipment necessary for both the general session and 13 breakout rooms.
That's when a discussion between an AER organizer and his son, Silas, sparked a cost-saving idea. Silas, working in audio engineering, confidently claimed he could source the required equipment for much less. Tasked with the challenge, Silas and the team successfully proved their point.
This story of innovation and determination highlights the behind-the-scenes efforts to make the conference accessible and successful, ensuring attendees had a flawless experience without the burden of sky-high costs.
